Information we receive
Film submissions are made through FilmFreeway, which collects and processes information under its own privacy policy.
We may receive or access information connected with your submission, including your name, professional name, contact details, biography, credits, country or region, film and submission information, answers about AI use and rights, correspondence, waiver or safety requests, judging and selection information, and promotional materials you provide.
We may also receive information that you send directly to us by email.
Fee waiver requests
When you request a submission-fee waiver, we may collect your name, email address, film title, intended category and confirmation that you currently reside in Iran. We use this information to assess and administer the request, maintain appropriate records and prevent misuse of waiver codes.
How we use information
We use information only where reasonably necessary to administer and review submissions, communicate with filmmakers, check eligibility, organise judging, selections, screenings and awards, publish approved credits and programme information, consider relevant partner opportunities, respond to legal or safety concerns, and meet legal or accounting obligations.
We do not sell filmmakers’ personal information.
Our lawful basis
We normally use personal information because it is necessary to administer your submission and festival participation, because we have legitimate interests in operating and promoting the Festival, or because we must comply with a legal obligation.
Where consent is required for an optional activity, you may withdraw it at any time.
Who may receive information
Relevant information may be shared, where reasonably necessary, with FilmFreeway, authorised Festival staff, judges and programmers, service providers used for email, storage, website administration or secure screening, professional advisers or authorities where legally required, and potential screening or festival partners where permitted under the Submission Terms.
Private screeners are shared only with people who need access for festival selection, judging, administration or approved curatorial consideration.
Public information
If your film is selected, we may publish information supplied or approved by you, including your professional name, biography, film title, synopsis, credits, poster, stills, trailer, country or region, and selection or award status.
Filmmakers facing censorship, persecution or safety risks may request a pseudonym, limited public credit or anonymous presentation before the programme is announced.
How long we keep information
We keep personal information only for as long as reasonably necessary. Unsuccessful submission and administration records may normally be kept for up to three years after the relevant festival edition. Selected-film, programme and award information may be retained as part of the Festival’s historical archive. Financial and legal records may be retained for longer where required by law.
Marketing
Submitting a film does not automatically add you to an unrelated marketing mailing list. We may send messages necessary to manage your submission or festival participation. Optional marketing emails will include a way to unsubscribe.
Your rights
Depending on the circumstances, you may ask us to provide a copy of your personal information, correct inaccurate information, delete information, restrict or object to certain uses, or withdraw consent where consent is being used.
To make a request, email hello@impossiblefilmfest.com .
Security and complaints
We take reasonable measures to protect personal information and limit access to people who need it for Festival purposes. No online platform, email service or storage system can be guaranteed to be completely secure.
Please contact us first at hello@impossiblefilmfest.com if you have a concern. You also have the right to complain to the UK Information Commissioner’s Office.
Changes to this notice
We may update this notice if the Festival’s services, technology or legal obligations change. The latest version will be published on this page.
